How to Set Up Booking Quotas for Fair Vacation Home Use
When several families co-own a vacation home, the question of 'how many nights does each person get?' usually answered with a yearly quota. OurSharedPlace lets administrators set per-member annual quotas so every owner has a clear allowance and the calendar enforces it.
This is the simplest fairness tool in the system — for a more elaborate model with date-picking turns, see the round-robin booking queue article instead.
Step-by-step
- 1
Open Members on your property
From your property dashboard, open the Members tab. As an admin you'll see each member listed with a Quota field beside their name.
- 2
Set the annual quota for each member
Enter the number of nights per year that member is allowed. Save. The number takes effect immediately and applies to all booking requests going forward.
- 3
Verify the quota is enforced
When a member tries to request a booking that would exceed their remaining annual quota, OurSharedPlace blocks the request with a clear message showing nights used and nights remaining.
- 4
Override the quota for a special case
Administrators can always approve a booking that exceeds quota when the group has agreed to make an exception. The override is logged so the rest of the co-owners can see what happened.
Tips
- Quotas reset every January 1 by default.
- Pair quotas with the round-robin booking queue at the start of the season to handle the high-demand weeks fairly, then let everyone request the rest as they go.
- Rejected booking requests are kept in the system, so at year end you can see who was denied repeatedly and adjust quotas.
