Introducing Guest Access Portal: Share Property Info Without Creating Accounts

Give temporary guests instant access to WiFi passwords, house rules, local tips, and emergency contacts with a simple shareable link. No login required, automatically expires after their stay.

The Problem

When you have guests staying at your vacation property—whether they're Airbnb renters, family members, or friends—they need access to basic information: WiFi password, house rules, emergency contacts, local restaurant recommendations, and how to work the TV remote. But you don't want to make them create an account or give them permanent access to your property management system.

Traditional solutions are awkward: email them a long message (which gets lost in their inbox), print out a binder (which becomes outdated), text them everything (scattered across multiple messages), or add them as a "Guest" member to your property (requiring login credentials and needing cleanup later).

There had to be a better way. That's why we built the Guest Access Portal.

How It Works

The Guest Access Portal lets you create time-limited access codes that give temporary visitors a clean, simple way to view important property information.

Step 1: Create an Access Code

From your property settings, create a new guest access code. Optionally add the guest's name and email for your records, then set the validity dates (e.g., their check-in and check-out dates). The system generates a unique 8-character code automatically.

Step 2: Share the Link

You get a simple URL like oursharedplace.com/lake-tahoe-cabin/guest/ABC12345. Copy and paste it into your Airbnb welcome message, text it to family members, or email it to guests. One click and they're in—no password, no account signup, no friction.

Tip: Want to keep it simple? Create one access code and share it with all your guests. No need to create a new code for each booking unless you want to track individual usage.

Step 3: Automatic Expiration

The access code works during the dates you specified and automatically stops working afterward. No need to manually revoke access or worry about former guests still having a link. The system tracks usage statistics so you can see when guests accessed the portal.

What Guests See

When guests click the link, they see a clean, mobile-friendly page with exactly the information you want to share:

Blog Posts and Articles

Any blog posts you've marked with "Guest" visibility appear on the portal. Perfect for house rules, WiFi information, local restaurant guides, hiking trail recommendations, or instructions for the hot tub, TV, or smart home devices.

Photo Gallery

Photos you've marked as "public" show up in the guest portal. Great for showcasing the property, sharing local area photos, or providing visual guides (like a photo of the parking area or front door).

Emergency Contacts

Your property's contact directory appears on the portal, giving guests instant access to phone numbers for the property manager, plumber, electrician, local hospital, or whoever else they might need to reach. Click-to-call functionality makes it easy to contact anyone in an emergency.

Privacy & Control

You maintain complete control over what guests can see. Blog posts have granular visibility settings:

  • Administrators: Only property admins can see
  • Members: Co-owners and members only
  • Guests: Visible to anyone with a guest access code
  • Public: Visible on your public booking page (if enabled)

Photos have a simple "public" toggle—turn it on for guest-facing photos, leave it off for private family pictures. Guests never see member lists, financial information, internal to-dos, private messages, or booking details. They get exactly what you choose to share, nothing more.

Getting Started

The Guest Access Portal is available to all OurSharedPlace users at no additional cost. Here's how to set it up:

  1. Set up your property slug in General Settings (this creates your custom URL)
  2. Write blog posts with guest-relevant information and set their visibility to "Guests" or "Public"
  3. Mark photos as public that you want guests to see (property photos, local area, etc.)
  4. Add emergency contacts and local services to your contact directory
  5. Go to Property Settings → Guest Access and create your first access code
  6. Share the generated link with your guests

It takes about 10 minutes to set up the first time, and then creating new guest codes for each booking is instant. Your guests get a professional, helpful experience, and you save time answering the same questions over and over.
